Fee & Payment Policy

In short
- Submitting and review are free. Nothing is charged unless we accept your work.
- If a work is accepted for a hall, the curatorial fee is €0.50 per image, invoiced once per submission.
- We are paid only by PayPal, in euro, to one account: munister@outlook.com. We never ask for card or bank details.
- Nothing is published until the invoice is paid. If it is not paid within 14 days, the acceptance simply lapses: no penalties, no debt collection.
- Full refund if you withdraw before publication, or if we do not publish within 30 days of your payment.

2.What the fee pays for, and what it does not
The fee covers the editorial work of bringing a picture into the collection: checking and cataloguing its details, preparing the image files, hanging it in a hall, writing its label and keeping its page online.
It does not buy selection. Editors decide what to accept before any invoice exists, and payment never changes that decision. It does not buy a particular position, hall or amount of promotion, and it does not transfer any rights in the work to us or to you.
3.How we invoice
- When we accept one or more of your images, we e-mail you from munister@outlook.com listing each accepted work, the number of images and the total.
- Every invoice has a reference in the form EPRIS-M-2026-0001. One submission, one invoice, whatever the number of images.
- The e-mail includes a PayPal payment request or link for the exact amount, addressed to the account shown below.
4.How to pay
- Pay the exact amount on the invoice, in euro, and put the invoice reference in the note.
- Pay as a payment for goods or services, so that PayPal’s protections apply to you. Fees PayPal charges us for receiving the payment are ours; you pay only the invoiced amount, plus any currency conversion charge PayPal or your bank applies if your account is not in euro.
- PayPal sends you a receipt. We confirm by e-mail when the payment arrives and tell you the date the work will go up.
5.Paying safely
We accept payment only to the PayPal account shown on this page, and invoices come only from munister@outlook.com. We will never ask for a card number, bank details, a password, a gift card, cryptocurrency or a payment to any other account. If you receive a message that asks for any of these in the museum’s name, do not pay, and forward it to us.
6.Publication and non-payment
We publish a work within 14 days of receiving payment and usually sooner. Nothing is published before the invoice is paid.
If an invoice is still unpaid after 7 days we send one reminder. If it is unpaid after 14 days, the acceptance lapses and the work is not published. We charge no late fees or interest and never pass anything to debt collection. You are welcome to submit again later.
7.Refunds and your right of withdrawal
Before publication. You can cancel at any time before your work is published and receive a full refund.
If we are late. If we have not published the work within 30 days of your payment, you receive a full refund on request, or automatically if we decide not to publish it.
Consumers in the EU. If you are a consumer you have a right to withdraw from the contract within 14 days of paying, without giving a reason (Articles 52 and following of the Italian Consumer Code, Legislative Decree 206/2005). Because we publish only when you ask us to, by paying you ask us to start before the 14 days are over, and you acknowledge that once the work is published the service has been fully performed and the right of withdrawal is lost. Until then, the right applies in full.
After publication. The fee pays for work already done, so it is not refunded when you later ask us to remove a work. If we remove a work within 12 months of publication for any reason other than a breach of the Artist Licence Agreement, we refund its fee in full.
How. Write to munister@outlook.com with the invoice reference. Refunds go back to the PayPal account you paid from, in full, within 14 days of your request.
8.Changes to the fee
We announce any change to the fee on this page and on the open call page at least 30 days in advance. A change never applies to an invoice already sent or to a work already published.
9.Receipts
PayPal sends you a receipt for every payment. On request we also e-mail you a receipt with the invoice reference, the works it covers and the date of payment.
10.Problems with a payment
If something is wrong with a payment, please write to munister@outlook.com before opening a PayPal dispute: most problems are solved within a day. Your rights under PayPal’s buyer protection and under consumer law are not affected. Disputes about this policy are governed by Italian law, and consumers may always use the courts of the place where they live.
